Invoice Event Trail

The Invoice Event Trail automatically records every important action performed on your invoices.

Whenever an invoice is created, updated, finalized, has its status changed, or one of its line items is modified, Enlivy creates an event in the background. Every action is timestamped and attributed to either a user or the system, giving you a complete audit trail for every invoice.

This guide explains how to access the Invoice Event Trail and understand the information it provides.

Open the Invoice Event Trail

From the Enlivy dashboard, navigate to Logs → Invoice Event Trail.

Here you’ll find a chronological list of every invoice event recorded within your organization.

What the Invoice Event Trail records

Every event contains the information needed to understand exactly what happened. Each entry includes:

  • The invoice involved
  • The event that occurred
  • Who performed the action
  • Where the action originated
  • The exact date and time
  • A shortcut to open the invoice

Events are recorded automatically and cannot be added manually.

Understanding the event trail

Each row represents a single action performed on an invoice. The table contains several columns that help you understand what happened.

Invoice
Displays the invoice associated with the event. Click View to open the invoice directly.
Event
Describes the action that occurred — for example Invoice Created, Invoice Updated, Invoice Finalized, Status Changed, or Line Item Changed.
Performed By
Shows the user responsible for the action. This makes it easy to identify who created, edited, or finalized an invoice.
Origin
Indicates where the event originated. Back Office means the action was performed manually by a user; System means it was performed automatically by Enlivy, such as scheduled actions or background processes. This allows you to immediately distinguish between human actions and automated events.
Occurred At
Displays the exact moment the event occurred. Events are stored with precise timestamps, allowing you to reconstruct the complete history of an invoice.
View
Opens the invoice associated with that event, so you can move directly from the audit trail to the document itself.

Each action is linked to a user or the system and includes the exact timestamp when it occurred.

Why the Invoice Event Trail matters

The Invoice Event Trail provides complete visibility over your invoicing process. Some common use cases include:

Identify who made a change

If an invoice contains unexpected information or a line item has changed, simply open the Event Trail to see exactly who made the modification and when it happened.

Understand automated actions

Some events happen automatically.

For example, if an invoice was finalized overnight, the Origin column will indicate that the action was performed by the System, helping you distinguish automated processes from manual actions.

Answer customer questions

If a customer disputes an invoice or asks why something changed, you can reconstruct the complete timeline — from creation to finalization — using the recorded events.

Improve accountability

Every important invoice action is linked to a specific user or the system.

Nothing depends on memory, making it much easier to investigate changes and collaborate across your team.

Access the original invoice

Every event includes a View button.

Clicking it opens the invoice referenced by that event, allowing you to immediately inspect or continue working on the document. There is no need to manually search for the invoice.

Automatic audit trail

The Invoice Event Trail works automatically. There is nothing to configure or enable.

As soon as your organization starts creating invoices, Enlivy begins recording their history in the background.

This ensures every invoice has a complete, chronological audit trail from creation to finalization, providing full transparency and accountability across your organization.
