Configuring General Settings

The General Settings page allows you to configure your organization’s default behavior across Enlivy.

These settings define which prefixes, statuses, user roles, payment reminders, and accounting options are used automatically throughout the application.

This guide explains every available option.

Open the General Settings

From the Enlivy dashboard, navigate to Settings → General Settings.

Here you’ll find several groups of settings that affect different areas of the application.

General Settings page.

Invoicing

The Invoicing section controls the default behavior used when creating invoices.

Default Organization Invoice Prefix
Select the default invoice prefix used for newly created invoices. This determines the numbering series for standard invoices — for example Invoice, Services, or Products.
Default Proforma Invoice Prefix
Select the default prefix used when creating Proforma Invoices. This numbering series is independent from your standard invoices.
Default Credit Note Prefix
Select the default prefix used for Credit Notes (reversal invoices). This ensures credit notes use their own numbering sequence.
Default Invoice Due Date Terms
Choose the default payment terms for newly created invoices — Immediate, 7 Days, 14 Days, or 30 Days. The selected option automatically determines the invoice due date.
Default Invoice Due Date Terms by Payment Method
Different payment methods can use different payment terms — for example card payments due immediately and bank transfers due in 14 days. Click + Add to configure payment-specific due date rules.
Default Pricing Currency Conversion Fee (%)
If you invoice customers in different currencies, you can automatically apply a currency conversion fee. Enter the percentage that should be added during currency conversion; a value of 0% disables this feature.

The prefixes offered here come from your Invoice Prefixes settings.

Payment Reminders

The Payment Reminders section controls automatic reminder emails sent to customers with unpaid invoices.

Send Payment Reminders
Enable this option to allow Enlivy to automatically email customers before invoices become due. Only invoices created after this setting is enabled will receive reminders.
Remind Before the Due Date
Choose how many days before the due date reminder emails should be sent. Multiple reminders can be selected — 1, 3, 7, 14 or 30 days.
Send Overdue Reminders
Enable automatic reminders after an invoice becomes overdue. These reminders continue until one of the configured limits is reached.
Repeat Overdue Reminders Every
Choose how often overdue reminders should be sent — for example every 7, 14 or 30 days.
Stop After This Many Overdue Reminders
Limit the maximum number of overdue reminder emails sent for a single invoice. For example, selecting 3 means the customer will receive no more than three overdue reminder emails.
Stop Reminding Once Overdue By
Choose the maximum age of overdue invoices that should continue receiving reminders — for example 30, 60 or 180 days. After this limit is reached, reminder emails stop automatically.

Receipts

The Receipts section controls how receipts are generated.

Default Receipt Prefix
Choose which Receipt Prefix should be used automatically when creating receipts.
Auto-Issue Receipts
Enable automatic receipt generation whenever an eligible payment is received.
Auto-Issue for Payment Methods
Choose which payment methods should automatically generate receipts — for example Bank Transfer, Card Payment, Stripe Card Payment, PayPal or Cash. You can enable automatic receipts for one or multiple payment methods.

The prefixes offered here come from your Receipt Prefixes settings.

Banking

The Banking section controls exchange rates and default Cost Types used by bank transactions.

Default Exchange Rate Provider
Choose the provider Enlivy should use for currency exchange rates. By default, Enlivy uses the European Central Bank (ECB).
Cost Type Standard
Select the default Bank Transaction Cost Type used for standard expenses — for example Purchases of goods/services with VAT.
Cost Type Bank Account Fee
Select the Cost Type that should automatically categorize bank charges such as monthly account fees, transaction fees and banking commissions.
Cost Type Government Tax Payment
Select the Cost Type used for payments made to government authorities, such as tax payments, VAT payments and other statutory obligations.

Note: Before configuring these options, it’s recommended to create your Bank Transaction Cost Types. These Cost Types allow Enlivy to automatically categorize imported bank transactions and make it easier to connect them to invoices, receipts, payslips, and other accounting documents.

Contracts & Sales

The Contracts & Sales section defines the default values used when creating contracts and prospects.

Default Contract Status
Choose the status assigned to newly created contracts. A common default is Draft.
Default Contract Signing Status
Choose the signing status automatically assigned when a new contract is created — for example Sent for signing.
Default Contract Prefix
Choose which Contract Prefix should be used when generating contract numbers.
Default Inbound Prospect Status
Select the default status assigned to newly created inbound prospects — for example New Entry.

The values offered here come from your Contract Statuses and Contract Prefixes settings.

Contracts & Sales settings.

Users

The Users section controls which User Roles are assigned automatically when creating new users.

Default Organization User Role
Select the default User Role assigned when creating an individual person — for example Client Person.
Default Organization User Role for Company
Select the default User Role assigned when creating a company or organization — for example Client Company / Organization.

These defaults help streamline user creation by automatically selecting the most commonly used role for new contacts. The roles offered here come from your User Roles settings.

Automatic saving

All changes made in General Settings are saved automatically.

As soon as you change a setting, Enlivy immediately applies it across your organization. These defaults will be used whenever new invoices, receipts, contracts, bank transactions, prospects, or users are created, helping keep your workflows consistent while reducing manual configuration.
